An estimate (or quote) is what you send before the work starts; an invoice is what you send after. The structure is identical - parties, line items, totals, terms - which is why the Invoice Cove tool does both.
What a good estimate includes
- Your business details and the client's details, exactly as they should appear on the later invoice.
- An estimate number and date. If the client approves, you convert the same number to an invoice - no re-typing.
- Itemized line items. Break the job into parts (labor, materials, fees) so the client can see where the total comes from. Itemized estimates get disputed less.
- Taxes and discounts shown separately, not baked into prices.
- Terms in the notes: how long the estimate is valid (30 days is common), deposit requirements, and what would change the price.
Estimate vs invoice vs quote
In practice, "estimate" and "quote" are used interchangeably. An estimate is approximate and can shift if the scope changes; a quote is usually a fixed offer valid for a set period. An invoice is the payment request issued after work is delivered. With the estimate generator you can produce the estimate first, then flip the document type to invoice when the job is done.
